
Governance and Policies
Policy status: Drafts for community review — pending formal adoption
UAANT is a volunteer-led incorporated association and registered charity. Good governance protects our members, volunteers, children, community partners and the integrity of our decisions.
The policies below were prepared in August 2026. Until formally adopted, they describe proposed standards and should not be represented as final approved policy. Statutory duties and the UAANT Constitution continue to apply.
Privacy
Our Privacy Policy explains how UAANT handles membership information, volunteer and event records, children’s information, photographs, website analytics, access requests, retention and data incidents.
Complaints and Dispute Resolution
Complaints may be sent to uaant.inc@gmail.com. UAANT will acknowledge ordinary complaints, manage conflicts, give affected people a fair opportunity to respond and record reasons and outcomes.
Member disputes follow clause 56 of the Constitution: discussion within 14 days after the dispute comes to the parties’ attention, followed by mediation within 10 days after that meeting if unresolved. If a person refuses to communicate, UAANT documents reasonable contact attempts and offers written, online or supported participation. Silence is not proof of wrongdoing, but it does not prevent an authorised safety or governance decision after fair notice.
Emergencies, child safety, privacy breaches, workplace incidents and possible crimes use specialist reporting pathways and are not delayed for ordinary mediation.
Child Safety and Safeguarding
UAANT places children’s safety above reputation, friendship or convenience. People acting for UAANT must maintain appropriate boundaries, use observable and accountable interactions, follow photography consent, and report concerns promptly.
Call 000 for immediate danger. NT child-protection concerns can be reported on 1800 700 250. Internal approval is not required before a mandatory report. UAANT does not investigate suspected criminal or child-protection matters beyond facts needed for immediate safety and reporting.
Before formal implementation, UAANT will appoint a Child Safety Contact and backup and confirm roles requiring Ochre Cards.
Volunteer Conduct, Safety and Incident Reporting
Volunteers must act honestly and respectfully, protect confidential information, disclose conflicts, work within their role and report hazards or incidents. Bullying, harassment, violence, exploitation, theft, fraud and deliberate unsafe conduct are prohibited.
Anyone may stop or refuse a task reasonably believed unsafe. Call 000 in an emergency. Serious injuries, illnesses and dangerous incidents are assessed immediately against NT WorkSafe notification requirements.
Conflicts of Interest
A conflict may be actual, potential or perceived, financial or non-financial, and may involve competing duties to another organisation. Outside roles are not automatically conflicts; the question is whether they overlap with a particular UAANT duty or decision.
People involved in UAANT decisions must disclose relevant interests promptly. Non-conflicted decision-makers determine management, which may include recording only, restricted papers, factual input, leaving discussion, not voting or independent review. Disclosures and management are recorded in minutes and a restricted register.
Records and Secure Disposal
UAANT keeps foundational governance and final meeting records permanently; core financial, grant and operational evidence generally for at least seven years; and personal or event information only as long as genuinely required. Identity and health information receive priority review and secure disposal.
Disposal stops where a complaint, safeguarding concern, audit, claim, investigation or legal proceeding may require the record. Confidential paper is shredded and digital copies, links, downloads and obsolete access are removed securely.
Public and Restricted Records
Public governance information includes approved policies, the current Constitution, Committee names and positions, and approved annual reports where appropriate.
Membership lists, conflict-register details, complaints, child-safety and incident files, identity documents, banking information, passwords, evidence packs and internal access arrangements remain restricted.
